Bank of America PCard Transition Information and Updates

*In the coming weeks, procedures and information on the Financial Services website regarding the PCard program will be updated. *

The University PCard program has begun issuing new physical PCards through our new partner, Bank of America. Please review the information and updates below to ensure a successful transition.

Please note that there are no changes to the Financial Services Policy due to this transition. However, procedural updates will be reflected in the PCard Manual in the future.

Transition Support

Due to the increased volume of PCard activity, Accounts Payable will partner directly with liaisons from each college/unit to coordinate during this transition. Please review the information below for additional information as we continue the transition.

Card Orders

We will provide PCard liaisons with a list of PCards that will be ordered for their department. Liaisons can make any necessary changes before the bulk order is placed.  

Delivery Timeframe

PCard Liaisons within the college/department should communicate directly with individual cardholders once they have confirmed any changes with Accounts Payable. Cardholders should be notified the cards will arrive within 7–10 business days from the date the order was placed with the bank.

JP Morgan Chase Card Grace Period

To ensure continuity of business throughout the transition, JP Morgan Chase PCards will remain active for three weeks after the bulk order is placed. If there is a delay in receiving the Bank of America PCard, the department liaison can work with Accounts Payable to delay the closure of the JP Morgan Chase card. Please ensure mailing addresses are up to date for card delivery to prevent business interruption.  

Card Activation

New Bank of America PCards can only be activated by the cardholder and may not be activated by the department’s liaison. Once the new card has been sent, the cardholder will receive an email from Bank of America on how to register their profile through the Global Card Access website. Global Card Access Website

Bank of America’s Global Card Access website offers cardholders the ability to activate and manage their cards.

Cardholders will receive an email from Bank of America when the card is mailed with instructions on how to register their profile through the Global Card Access website. This must be completed by the cardholder and the email should not be forwarded to anyone, including your department’s liaison. Once the cardholder receives the card, they should begin the registration process to activate the card immediately.  

Once registered, cardholders can use the Global Card Access website to:  

  • Place the card on hold when on leave.  
  • Monitor purchases and expenses.  
  • Set alerts on the card to detect fraudulent activity.
  • View monthly statements. 

If you did not receive an email from Bank of America, please confirm that your information in UAccess Financials is correct.  

If you are not able to access the email sent by Bank of America or it was sent to the wrong email address, please contact Accounts Payable at FNSV-Accounts-Payable@arizona.edu to have another email sent. Please allow three to five business days for the email to be sent.  

Updating and Confirming PCard Liaison and Cardholder Information 

Liaisons should ensure the following information is up to date within UAccess Financials: 

  • Your college/department has an assigned PCard Liaison. To make changes or assign a new liaison, please submit a PCard – Liaison Application/Assignment web form. 
  • If a cardholder’s mailing address needs to be updated, submit a PCard – Workgroup or Account Change Request. For security purposes, physical cards and activation instructions are mailed directly by the banking partner to the cardholder’s primary work location. 
    • Remote employees should have the PCard mailed to their remote work location.
    • Hybrid/full-time in-person employees should have their cards mailed to their department's physical address. 

PCard Liaisons should review the PCard Missing Documentation report in UAccess Analytics to ensure current PCard activity is updated accurately and timely.

As a reminder, cardholders cannot make changes to their mailing address. Any changes will need to be made by your department’s liaison. Please contact them if you need to update your mailing address information.  

PCard Applications and Transfers

Users who apply for a PCard will now be issued the new Bank of America PCard. Existing PCard holders do not need to reapply for a new card as one will be issued to them. Please ensure that your information is correct in UAccess Financials to receive your new card. See the PCard Liaison and Cardholder Information section below for more information.

However, Accounts Payable will no longer transfer a departmental PCard to a new responsible cardholder. If a transfer is necessary, a PCard Application is now required to initiate a new physical card for the new responsible cardholder. Accounts Payable will coordinate with PCard Liaisons if they elect to update the department name as it appears on the card.

New and Existing PCard Features

Previous PCard enhancements (plus, travel, and hotel) have now been consolidated into one Travel & Entertainment option that is available by request when completing an application for a new PCard. PCards without this enhancement may only be used for general purchases.

PCards will no longer maintain a daily and monthly limit on the number of transactions. Cardholders will have access to a new spending profile, which details their single transaction limit and monthly credit limit.
